PUGET SOUND ZONE

“How Do I Sign Up and what should I know?”

 

1.         Washington State Horsemen (WSH) Sign-up – membership form:

This form is sent to the WSH Executive Secretary, Christine Oliver Hammond.  She will issue you a membership card that you should receive within two weeks.  You can also sign up at a horse show through the show steward, who sends the forms to Christine.  If you don’t receive your card within two weeks, it is very important to call Christine at 253-375-6332 to find out if she received your paperwork.  It is easiest to sign up for WSH before your first show.  If you sign up at a show make sure to keep the yellow carbon that the steward gives you and make sure to take it to the next show if you haven’t gotten your card yet.  If you don’t have the yellow paper, which is your proof that you have signed up for WSH, you will have to sign an affidavit and pay another $3.00 at every show that you don’t have your membership card for.

Signing up for Washington State Horsemen, automatically enrolls you into Puget Sound Zone, but does not enroll you in the PSZ Horse Show Division, Year-end Awards Program – more about this form in section 2.  If you live in another zone and want to be enrolled in PSZ, please make sure to put PSZ on the form so that Christine knows which zone to enroll you in.

WSH sends each Zone President a master list of all members enrolled in that zone.  This list is updated every month.

Senior Amateur cards are processed through the Horse Show Director, Dawn Spencer (509-773-6557) if you sign up for two WSH year-end award classes, and you’re an amateur, your card is free.  You will receive a sticker from WSH to put on your membership card that declares you are an amateur rider and permits you to show in equitation classes.  Make sure that you put this sticker on your card.

2.         Puget Sound Zone (PSZ) Horse Show Division, Year-End Awards Sign up Form:

This form is filled out and given to the PSZ Pointskeeper, Jean Garcia.  For $40.00, you qualify for as many year-end award classes that you want to ride in.  If you have a horse/rider that only goes in a few classes, you can pay $5.00 a class.  Check out the 2007 list of Year-end Award Classes that PSZ offers a year-end award for.  You must sign up for the year-end awards BEFORE your first horse show.  If you wait until the first show, you need to make sure that Jean has your sign-up sheet and payment before you enter your first class in order for your points to count for that show.  We recommend that you sign up BEFORE the show.  You can add classes throughout the year, but your points won’t start counting until you have signed up with Jean.

Please fill this form out completely and print neatly.  There are several times throughout the year that we will need to contact you.  Without zip codes, phone numbers or email addresses, you may miss out on vital information.  If you are signed up with WSH through a club, please be sure to indicate that.  Please make sure to sign up your horse under its registered name.

Twice a year the PSZ horse show division has “Open Books”, usually in the months of June and August.  At the open books meeting, you are able to see how you stand in the points for the year-end awards.  At these meetings, you need to make sure that you are listed in the right classes (i.e. right breed, right age-group, etc.)  PSZ points are counted that same as state points are.  6 points for first, 5 for second, 4 for third, 3 for fourth, 2 for fifth, and 1 for sixth.

In order to qualify for a year-end award, you must attend three (3) meetings and work four (4) hours at the Puget Sound Zone Benefit Show in August.  The rider must make their three meeting requirement and the owner of the horse must make three meetings.  If the owner of the horse cannot make the meetings, you should fill out a lease form and turn a copy of the lease into the pointskeeper.  At each meeting, there is a sign-in sheet that goes around.  Please make sure to sign the sheet.  If these two requirements create a hardship for you, please let us know.  There are other ways of meeting these requirements.  Sponsoring a year-end award for $35.00 can count towards your meeting requirements.  If you can’t work at the benefit show, you can pay $40.00, but this fee must be paid to the zone president at the show.   Leadline and Walk/Trot 10 & Under exhibitors are not required to meet their work requirement.   

 

3.         WSH Year-End Awards Sign-up:

This large form is sent to the Director of the WSH Horse Show Division, Dawn Spencer.  Please make sure to fill the form out completely.  Make sure to read both sides of the paper.  It is a great idea to make copies for your records so that you know what you have signed up for.  You should receive a form from the Horse Show Director which states the classes you have signed up for.

If you’re not sure about something, PLEASE ASK.  This form can be very confusing.

 

 

4.         Washington State Horsemen REGISTER OF MERIT PROGRAM (ROM):

 

The ROM program was designed so that it would take one to two years to complete.  However, with the growing number of WHS shows now offered, many are able to complete many levels in one year.

Forms must be sent in to me before your points can start counting towards your ROM.  Please make sure that these forms are filled out completely and legibly.  I have no other access to contact information should I need to get in touch with you.  This becomes vital when I’m trying to make the award deadlines for ordering.

You can only count points in those classes that you are signed up for a WSH year-end award for 2007.

You need to keep track of your own points.  I know that this is hard, but you can ask to get your placings from the show secretaries, sometimes it will cost a small office fee.  Zone Pointskeepers may also be able to assist with this.

The awards have a deadline date for ordering.  Buckles need to be ordered by September 1st.  Jackets and sheets have to be ordered by October 1st

Please make sure that let me know when you have made your point goal for your award (sheets & buckles).  The buckles are custom made for WSH and take two months to receive.  The buckles need to be ordered by September 1st – there are no exceptions to this deadline, the deadline has been made by the buckle company.  Buckles ordered after the September 1st deadline, will be received in 60 days.  Payment must accompany the order.  Once I have your award payment, the buckle order is sent in.  The sheets and jacket award deadline is October 1st.   These awards must be ordered, shipped to the embroiderer, then embroidered and shipped back to me.  All this takes time and if you miss the deadline, we may not have your award for convention.

Your completion fee must be paid before the award can be ordered.

Please don’t hesitate to contact me if you have any questions.  I cannot answer any “what are my points” questions, since I don’t have access to the WSH books.  You can request an audit of your points in September for an audit fee of $10 for just a total of the points, or $20 for a print out of all the points and shows. 

 

 

5.         Words of Advice:

Make sure that you bring your horse’s papers if you show in a breed class and your WSH membership card to all shows.  If you’re over 18 and ride in equitation classes, please make sure your amateur sticker is on your WSH membership card.  You can also attach copies to your horse show entry when you mail it in to the show secretary.  The show secretaries REALLY appreciate it when you do this because it makes their job a lot easier.  Shows are required by the Horse Show Division to see your membership cards and your breed papers. Many people make copies at the beginning of the year and keep them in the trailer.  Shows usually return the copies to you when you come to the office to get your number.

Be sure to read the entire horse show booklet - especially the rules - when you enter a horse show.  These shows are run by different clubs/organizations and some rules may be different.  Just because a horse show is at one location, doesn’t mean that it is run by the same organization every time.

There are two classes for WSH year-end awards that can be quite confusing.  English Pleasure, Age Group (English Division) and English Pleasure, Hunter Type, Age Group (Hunter Division).  THESE CLASSES ARE NOT THE SAME CLASS.  The English Pleasure classes are more common on the Eastern side of the state.  English Pleasure, Hunter Type is offered more on the Western side of the state.  English Pleasure (age groups) is open for both saddle seat and hunter type riders.  English Pleasure, Hunter Type (age group) is open to only hunter seat riders. They also have different class specifications.  If you have a question, please make sure you ASK.

To ensure that you are properly signed up for WSH, Puget Sound Zone, the Register of Merit Program (ROM) or getting your permanent WSH number, it is best that you not wait until you are at that first show to sign up.  I guarantee you - you will be in a rush and may not sign up as you intended.
